Council Structure and Responsibilities:
SENA is administered by a Council, consisting of a President, President-elect,
Honorary Treasurer and Honorary Secretary.
The Honorary Secretary liaises with a named Representative from each
of the Neuroscience Centres. The Secretary serves as the Representative
for their Neuroscience Centre.
Otherwise Local Representatives are elected by acclamation or ballot
by the Members of each Neuroscience Centre, at their discretion. The
nominated Representatives are confirmed at each Annual General Meeting.
President and President-elect
The President is elected by members of Council. Nominations for
President can only be made by the local Representatives, but Members
of SENA can propose any Member of SENA for the post of President via
their Representative.
The President will serve for a period of three years, extendable annually
to a maximum of six years at the discretion of Council.
The President (or his or her nominated Deputy) will:
- Open and close each Meeting, and chair any sessions as required by the Local Organiser
- Chair the Annual General Meeting
- Liaise with the Secretary and Treasurer about the organisation and finance of each meeting
The President-elect is elected by members of Council. Nominations
for President-elect can only be made by the Representatives but Members
of SENA can propose any Member of SENA for the post of President-elect
via their Representative.
The President-elect is nominated and confirmed at the Annual General
meeting and immediately succeeds the President on demission.
Honorary Treasurer
The Treasurer is elected by members of Council. Nominations for
Treasurer can only be made by the local Representatives but Members
of SENA can propose any Member of SENA for the post of Treasurer via
their Representative.
The Treasurer will serve for a period of three years, extendable annually
to a maximum of six years at the discretion of Council.
The Treasurer will:
- Maintain the accounts of the Association, including any investments made on behalf of the Members.
- Liaise with the Honorary Secretary and Local Organiser about meeting sponsorship and expenses
- Present accounts at the Annual General Meeting
Honorary Secretary
The Honorary Secretary is elected by members of Council. Nominations
for Honorary Secretary can only be made by the local Representatives
but Members of SENA can propose any Member of SENA for the post of
Honorary Secretary via their Representative.
The Honorary Secretary will serve for a period of three years, extendable
annually to a maximum of six years at the discretion of Council.
The Honorary Secretary will:
- Liaise directly with the Representatives of the Neuroscience Centres
- Liaise with and advise on a regular basis the two Local Organisers of the SENA meetings for the year
- Maintain an accurate Register of Members for their Centre
- Send notification of each SENA meeting to all Representatives by email one year in advance with reminders six months and one month in advance
- Obtain a meeting programme four months in advance
- Ensure that the meeting is recognised for CPD with all the relevant Colleges and regulatory authorities
- Liaise with the Secretaries of all relevant organisations to ensure SENA meetings are posted on websites in a timely manner
- Act as webmaster for the SENA website www.sena.org.uk
- Record a summary account of the scientific and business content of each meeting
Representatives
Each Neuroscience Centre nominates a SENA Representative from its
local Members.
The Representative serves until that Centre has held its statutory
meeting. He or she can then continue to serve as the Representative
or demit. If demitting, the Representative must arrange for a replacement
by discussion with other Members of the Centre.
Representatives can serve for a maximum of four years.
The Representative will:
- Liaise directly with the Honorary Secretary
- Maintain an accurate Register of Members for their Centre
- Mail Members with all relevant SENA correspondence from the Secretary
- Include SENA meetings in the academic programme for their Centre
The Representative of the hosting Centre is referred to as the Local
Organiser.
The Local Organiser is responsible for all aspects of the organisation
of SENA meetings at their Centre including:
- Obtaining funding for the meeting
- Designing a programme with advice from the Honorary Secretary
- Arranging speakers who may be local or from outside the area
- Scheduling an AGM in the Spring meeting programme
- Scheduling a Representatives meeting at lunch time of Spring and Autumm meetings
- Arranging accommodation, catering and entertainments, as necessary, including the Conference Dinner held on the evening of the meeting
- Sending a meeting programme to the Honorary Secretary four months in advance
- Ensuring all income and invoices are sent to the Treasurer
